Information notice regarding the processing of image and/or voice data of external individuals to the Group

Who processes your Personal Data?

Your Personal Data is processed by one or more entities of the Covéa Group and the Covéa Group, as data controllers. You will find the entity or entities responsible for processing in the image rights authorisation you signed or in the invitation to participate in the event that was photographed and/or recorded.
 

The Covéa Group is represented by Covéa, a Mutual Insurance Group Company governed by the Insurance Code, RCS Paris 450 527 916, whose registered office is located at 86-90 rue Saint Lazare - 75009 Paris (hereinafter referred to as the "Group"). In what context is your Personal Data processed?

Your data is processed for purposes based on a defined legal basis and is retained for a specified maximum duration.

You will find the applicable purpose for your situation in the image/voice rights authorisation you signed or in the invitation to participate in the event that was photographed and/or recorded.

These purposes may include one or more of the following:

  • Internal communication to employees
  • External communication to the public
  • Management of authorisations for monitoring authorisations

They are not processed for commercial prospecting purposes.

 

1.  Internal communication to employees

In this context, your Personal Data is used to inform employees of the Group entities listed in the annex about an event or news in which you participated.

They are processed based on the execution of a contract resulting from your authorisation and are retained for the duration of the contract.

Deletion or anonymisation at the end of the retention period cannot be carried out if it proves impossible or would require disproportionate efforts (e.g., copies of a paper document disseminating your image cannot be deleted).

 

2. External communication for informational purposes

In this context, your Personal Data is used to enable the data controller and the Group to communicate with the public as part of the agreed communication campaign.

They are processed based on the execution of a contract resulting from your authorisation and are retained for the duration of the contract.

Deletion or anonymisation at the end of the retention period cannot be carried out if it proves impossible or would require disproportionate efforts (e.g., copies of a paper document disseminating your image cannot be deleted).

 

3. Management of authorisations

Regardless of the purpose among those described above, your Personal Data is used by the data controller to monitor the use of image/voice.

To this end, your Personal Data is processed based on the execution of the contract and is retained for the duration of the contract, supplemented by the applicable limitation period.

 

How is your Personal Data collected and processed?

We only collect personal data about you that is necessary to disseminate the desired information, contact you, and manage the image/voice rights you have granted us, including but not limited to your name(s) and surname(s), contact details, image and/or voice, and signature.

  • They are collected when:
  • You send us a completed and signed image/voice rights authorisation;
  • You directly send us a photo or recording (e.g., selfies);
  • You participate in an event organised in whole or in part by a Group entity during which photos and/or audio and/or video recordings are made.

Your Personal Data is not subject to automated processing.


To whom is your Personal Data intended?

Your Personal Data is accessible to a limited list of recipients.

Depending on the purpose of the processing, your Personal Data is intended, within the limits of their duties and authorisations:

  • To Group employees responsible for disseminating information;
  • To Group employees to whom the communication is addressed;
  • To Group employees responsible for monitoring the use of image/voice.

They may also be communicated to:

  • The partner(s) with whom the event is organised;
  • Group employees, trainees, interns, and any other person with access to internal communication platforms;
  • The public on various media (brand website, social networks, press, etc.) solely for the purpose of external communication.

Your Personal Data may also be communicated to service providers to whom the data controller has entrusted all or part of the processing to achieve the intended purposes.

Your data is processed in France.

Exceptionally, your data may be processed outside the European Economic Area based on an adequacy decision or negotiated contractual conditions, which are available from the Data Protection Officer. What rights do you have?

You have the right to access, rectify, erase, and restrict the processing of your data.

Your right of access allows you to obtain:

  • Confirmation that data concerning you is (or is not) being processed;
  • A copy of all personal data held by the data controller concerning you.

Your right to rectification allows you to correct information about you when it is outdated or incorrect. It also allows you to complete incomplete information about you.

Your right to erasure allows you to obtain the deletion of your personal data subject to legal retention periods. It may apply, in particular, if your data is no longer necessary for processing.

Your right to restriction allows you to limit the processing of your data (no longer subject to active processing) in the following cases:

  • In case of unlawful use of your data;
  • If you contest the accuracy of the data;
  • If you need the data to establish, exercise, or defend your rights.

Your right to data portability allows you to retrieve data concerning you for your personal use. It also allows you to transfer your personal data to another organisation.

You can define general directives with a trusted third party or specific directives with the data controller regarding the retention, deletion, and communication of your personal data after your death. These directives can be modified or revoked at any time.
